Position Summary
The Payroll Specialist manages an assigned portfolio of payroll clients while serving as the primary liaison between the Payroll Team and ADP for payroll-related questions, system issues, and operational support. This role requires strong payroll knowledge, excellent client service skills, attention to detail, and the ability to balance client responsibilities with team support and management-assigned projects.
Key Responsibilities
1. Client Portfolio Management
Payroll Processing & Support: Manage an assigned portfolio of payroll clients, ensuring end-to-end processing accuracy, compliance with tax regulations, and timely execution according to client schedules.
Client Onboarding & Setup: Complete onboarding for new clients, verify ADP setup (tax settings, withholdings, benefits), and identify AutoPay eligibility.
Communication: Maintain proactive communication with clients, responding to inquiries within 24–48 business hours and conducting appointments as needed.
Reporting & Filings: Monitor the completion of payroll filings and reports, ensuring all deliverables reach clients promptly.
Notice Resolution: Research, track, and resolve payroll notices from tax authorities within required timeframes, escalating to management when necessary.
2. Management Projects & Operational Initiatives
Participate in special projects, audits, process reviews, and workflow improvement initiatives as assigned by management.
Support the rollout of new payroll procedures and contribute to departmental goals.
Requirements
Bachelor’s degree in Accounting or related field (Preferred).
Minimum 2 years of related payroll experience, preferably with multiple clients in a business services environment.
Excellent organizational skills required
Strong knowledge of payroll systems (ADP experience preferred).
Excellent written and verbal communication skills are a must
Proactive communication with excellent follow-up skills.
Ability to maintain strict confidentiality of client and employee data.
Additional position details:
Work Location: Remote
Remote Work: If you are a remote employee, you are only authorized to work from one of the approved states listed. Working while traveling to other states or countries is not permitted.
Standard Operating Hours: 9:30-6:30pm EST
Equipment: The company does not provide equipment for this role. However, we utilize Venn, a secure technology solution that creates a protected workspace on your personal device. This allows you to safely use your own computer for work, ensuring company data remains secure while keeping your personal information completely private and separate.
Employment Type: full-time, non-exempt
Important Requirement: Information Security & IRS Compliance
As an accounting firm, we must adhere to strict federal data security guidelines associated with IRS Publication 4557. To ensure we remain in compliance, we have implemented a mandatory security verification process that must be completed on your first day
Compensation: $30-31.25/hr
Benefits:
Eligibility: Benefits begin the 1st of the month after 60 days of employment.
